National Conference Guide

Thank you for booking into the National Conference for Ladies Circle & Round Table. Here is a quick guide of things you need to know and a schedule of the event.

If you are attending the Saturday night gala dinner, the Reduced Shakespeare Company show will be a theatre style production. This will mean that the doors are closed and no one will be allowed to re-enter until the act is finished. If you leave, you have to stay outside the ballroom until the interval or the end. Please ensure you purchase enough drinks before the show starts and during the interval. You can pre-order your drinks direct with the hotel, email Charlotte Franklin conferences@cpstratford.valoreurope.com stating RTBI & NALC Conference Saturday 6th May to arrange, see website menu option for wines available.

Getting There-
Car/Sat-Nav: use postcode CV37 6YR and follow directions
There is plenty of parking space available onsite at the Crowne Plaza.
 
Train: Stratford-upon-Avon train station is in in the town centre
(please don’t confuse it with Stratford-upon-Avon Parkway).
You have three options from here.
  1. Taxis – 5 minutes, give the hotel details to the driver.
  2. Bus – 15 minutes, catch the X17 or X18 then a short walk to the hotel.
  3. Walk – 12 minutes, Walking directions from Station:

take Alcester Road towards Albany Road;road name changes to Greenhill Street, then Rother Street,
keep right on to Wood Street and then continue onto Bridge Street,
at the end of the road, the hotel is diagonally opposite.

Air: Birmingham International Airport is about a 40 minute drive or taxi-ride away.
Alternatively take the shuttle train to Birmingham International Train Station and
head to either Birmingham New Street or Leamington. Both routes will require
you to change lines to get to Stratford-upon-Avon (NOT Stratford-upon-Avon ‘Parkway’).
What to wear/bring-
Friday Party: Friday night is an 80s/90s party night so bring fancy dress and get ready to rave.
Saturday AGM: Tablers – lounge suit or table top; Circlers – there is a tradition of dresses & hats/ fascinators (and even a competition for the best one!), but we’d rather you were comfortable so if dressing up is not your thing, don’t worry!
Saturday Party: Saturday evening is a black tie so ladies don those ball gowns.
Arrival & Registration-
You can arrive at the hotel at anytime but these are the times when a conference registration desk will be open in the hotel main reception.

Saturday 6th May 2017:

Circlers – If you are joining us for all of Saturday i.e. staying the night please note luggage can be left with Hotel reception and you will need to check in at Conference Registration AFTER the AGM has finished. You will need to register at the AGM desk IF you are a voting delegate only OR if you need to collect your lunch pass. Lunch is pre-order only, we can not take payments on the day.

Tablers – your AGM takes place at the Arts House starting at 9:00am (it’s a 10 minute walk from the hotel). You will need to collect a lunch pass at the Arts House Registration desk if you have pre-ordered and collect your voting documents.Directions to the Arts House here.

If you are arriving at the Crowne Plaza outside of these hours please ask at Hotel reception for Fiona Bull or Greg Meadwell.

Delegates attending for A.G.M. lunch should collect their Conference registration documentation at their A.G.M. registration desks on Saturday 6th May.
Conference Programme-
The Conference Programme is set out below. This may be subject to minor changes and the most up to date version will be available here over the weekend.
*Food is included with certain packages and must be paid for in advance, including AGM lunches. All overnight guests will be issued with a wristband that must be WORN AT ALL TIMES – No Wristband = no food and no access!
Thursday 4th May 2017:
Arrival – please yourself and enjoy the delights of Stratford-upon-Avon.
We can recommend the following restaurants £££ No. 9 Church Street, Salt, ££ Loxleys, El Greco £ Giggling Squid, Edward Moons, Wildwood Kitchen. Stratford is full of lots more from the usual chains to a fab 1950s tea room.

14:00     Round Table National Council Meeting – Charlecote Suite, East Wing Meeting Centre (Crowne Plaza)
Evening
19:00     80’s Garden Party Starts with BBQ* – Terrace Bar (Note: Food for wristband wearers only!)
19:30     Mark’s team vs Alex’s Team at School Sports
21:00     90’s Party Starts and DJ’s rock the house – Grand Ballroom
02.00     Main Room Closes- G’s Bar is open from 7pm and remains open for those ‘Hard Core’ few
Saturday 6th May 2017:
Morning
07.00     breakfast opens
07:30     Ladies Circle A.G.M. Registration opens at the Hotel
– tea and coffee will be available all day in the atrium
08:00     Round Table A.G.M. Registration opens at ‘The Arts House’

08:45     Ladies Circle 2017 A.G.M. starts – Grand Ballroom, Crowne Plaza
09.00     Round Table 2017 A.G.M. starts – The Stratford Arts House
Lunch
Tablers lunch will be served at approximately 12:15 and Circlers lunch at approximately 12:45

15:00     Membership attraction – Hatton, Avon Meeting Centre (Crowne Plaza)

18.45     Presidents’ Banquet & Ball*

20:30     Reduced Shakespeare Company performance-
 20:30 Act 1;
 21:20 Interval; dessert is served.Optional Cheese & Port served.
 21:50 Act 2;
 22:30 performance ends; room reset for DJ’s;
Please Note: anyone leaving the performance during either of the acts, will not be allowed to enter until the act is over. Please ensure you purchase enough drinks before the performance starts and at the interval to stop you dying of thirst! See the forms on this website for Pre-orders of wine.
23:00     DJ’s rock the house for a second night

Stratford-upon-Avon Marathon and half Marathon takes place on Sunday 7th May.
Why not hang around a support the runners including our very own IRO Jose Brinkman, take advantage of the market stalls
or explore what Stratford-upon-Avon has to offer.
We have managed to secure a number of discounts with local attractions and restaurants.
These are listed on the offers page but include-

  • The Butterfly Farm – Adult £6.75 as opposed to £7.25, Senior (60+) £6.25 as opposed to £6.75 (Show wristband)
  • Shakespeare’s Birthplace – 30% discount on a Town House Pass – £12.25 instead of £17.50
    • This covers all three Town houses in Stratford-upon-Avon namely The Birthplace, Hall’s Croft and Shakespeare’s New Place

Both passes last for 12 months from the date of purchase and visitors can come back as many times as they want in that time to the Shakespeare Family Homes. (Mary Arden’s Farm is closed between November and Mid-March of every year.)
